Dear Ruth,

I am not aware of how the event will exactly be organised, but if the President will walk around 
with a small group of students or is to be filmed/photographed with individual students, we 
really need model release forms to be signed by these students. Otherwise the footage can't be 
transmitted/published on the web.
This is not necessary for the Auditor of the Society (he is a public person) nor for images of large 
groups of students or of the general public.

Citizens Dialogue didn’t have all this – also a by-registration event? Should be OK.

I’d like my colleague Bert’s take on this as he is in charge of the video library 
where the footage/photos would be archived.

I was thinking of the part of the programme when the President’s walks from 
one place to another with students – they should I believe sign forms if this part 
is to be filmed.  In general, the President’s team like to have images of him with 
young people etc.

This will be an event with almost 200 people at it. On the podium with the 
President however, there will only be the Auditor of the society. Is she and 
other members of the Hist society who issued the invitation the ‘general 
public’?

Dear colleagues,

As I am sure you are aware we require any members of general public 
who are recognisable in a photo or video shot to sign an image release 
form.

I note that the president will be accompanied by students during his visit 
to Trinity so they would need to sign the form and it would be easier if 
done in advance.   I am presuming they are over 18 and enclose the 
adult form.   If these forms are not signed and sent back to me (scanned 
copy plus originals please).
