Tutorial for using the Beneficiary Dashboard of the Erasmus+ Project Results Platform

Welcome to our Erasmus+ Project Results Platform tutorial.

This essential tool helps you share the outcomes

of your Erasmus+ project with the EU and the public.

In this video, we'll cover how to: Log in;

Familiarise yourself with the platform;

Publish, and hide, your contact details;

Add your project website, logo and results;

Submit your project information and results for review;

As well as what to do after the review;

And how your results will be shared.

Once your signed contract has been received,

your project description appears on the Project Results Platform

and can be searched by anyone.

You can now access the Beneficiary Dashboard

to add details and results.

Check your email for a link to login to the dashboard.

You can also access the dashboard through the Project Results Platform.

Remember,

only the designated contact person can log in to the Beneficiary Dashboard,

but the beneficiary can give an additional contact person

login rights to the dashboard via the Beneficiary Module.

If you receive an “Access forbidden” message,

double check you entered the correct email address

of the designated person and ensure all other tabs are closed.

When logging in for the first time,

you will need to accept the terms and conditions to use the platform.

Once that's done, welcome!

You're now connected to the platform.

Now, you can see your ongoing projects

in the “My Projects” tab, along with the status for each project.

These statuses include:

Open for uploading results -

the standard status until the end date of your project;

Available for submission after all results uploaded -

shown after the end date, or following

the submission of the final report via the Beneficiary Module;

Under review -

shown when your project results have been submitted

and are being reviewed;

Modifications required - shown when your project results

have been submitted and reviewed, but you still need to make changes;

Review completed -

shown when the review of all results has been completed.

At the bottom of the page,

there are links to useful information and resources like Wiki pages

with detailed instructions, the FAQ, GDPR guidance

and more.

For each of the projects displayed in the

“My Projects” tab of the Erasmus+ Beneficiary’s Dashboard,

you can click on the People icon located at the far right of your project row.

Here you can publish, and hide personal contact details

for your organisation and partners at any time.

An email

will be sent automatically to the people concerned.

Please always make sure that you are allowed to publish

the personal contact details you provide.

For each of the projects displayed in the “My Projects” tab

of the Erasmus+ Beneficiary’s Dashboard,

you can click on the Pencil icon located at the far right of your project row.

You'll see the Project's Information screen with two tabs:

Project Details, and Project Results.

On the Project Details tab,

add your project logo,

and website link.

The website is published as soon as you hit

the “Publish URL” button.

The logo will be published after your project has ended

and your project results have been reviewed.

On the Project's Results tab,

you can start adding your project results at any time during the project duration.

Remember, your results should be complete, relevant,

and in their final version, but also useful to those looking for resources -

or even people looking for inspiration

or potential partners for their own projects!

In the Project Result tab, click “Add Result”

and give each results a meaningful title and clear description,

then assign it to the appropriate category.

These details will be publicly available on your project card.

Ensure the project results are relevant,

and respect to GDPR and IPR.

If the result is confidential,

tick “Don't publish” and give the reason.

You must indicate GDPR compliance

for each individual result,

which means that the results does not include any personal data

or personally identifiable information.

Once this is done,

you can also attach up to one file per result.

Further detailed information on

uploading results can be found in the wiki pages,

under the website inks on the main page.

After your project ends,

and the final report has been submitted in the Beneficiary Module,

the status of that project on the “My Projects” tab

changes to “Available for submission after all results uploaded”.

The “Submit for Review” button

will appear on the Project Information page.

Click this button to submit your project results

for review by the Project Officer.

So make sure your project stands out by:

Checking that titles are clear;

Correcting any spelling mistakes; and ensuring that submitted links work.

Once submitted or approved,

you can't make any changes or additions to your project results.

Your project will move from the “My Projects” tab

to the “My Submitted Projects” tab,

with the status marked as “Under review”.

In case of a negative review, the project moves back to the

“My Projects” tab with the status “Modifications required”.

The Project Officer's decisions are shown

next to each result on the “Results” tab,

with any comments appearing at the bottom of the screen.

Make the necessary adjustments and/ or additions to each individual project result,

and re-submit your results for review

once you're ready.

Your submitted results have received a positive review.

Congratulations!

As soon as the project

is closed in the Project Management Module with “Finalised” or “Terminated”

with eligible costs’ shown as its status in the Beneficiary Module,

your project results will become visible

to everyone on the Project Results Platform.
